Pay periods
Closing a pay period locks its hours. Nothing in it can be added, corrected, signed off or cancelled afterwards, so the hours you paid stay the hours you paid.
Managers, admins and the owner see Pay periods in the sidebar. Admins and the owner can set them up, close them and reopen them.
Set up pay periods
Section titled “Set up pay periods”- Open Settings, then Attendance rules.
- Under Pay periods, choose how it Repeats: Weekly, Fortnightly or Monthly.
- For weekly and fortnightly, enter Starts on: the first day of any one period. Weeks run from that day of the week, and fortnights are counted from that date. Monthly periods are calendar months.
- Select Save changes.
Days are counted in the organisation’s time zone.
Until you choose one, Repeats shows None, nothing is locked and the Pay periods page says No pay periods yet.
If you change the setting later, closed periods stay as they were. The new setting applies from the day after the last closed period, and the first period after the change can be shorter than usual.
Once you have closed a period you cannot go back to None.
Close a pay period
Section titled “Close a pay period”- Open Pay periods. Each row is one period, newest first, marked Open or Closed.
- Open the row’s menu (⋯) and select Close.
- Select Close pay period.
A period can be closed once it has ended, and only when nothing in it is unsettled. Otherwise Darg opens These days are not settled and lists each person and day with the reason:
| Reason | What to do |
|---|---|
| Waiting for sign-off | Sign off the hours. |
| No clock-out | Add the clock-out. |
| Still clocked in | The shift has not finished. Close later. |
| Leave not answered | Approve or decline the request. |
Select a line to open that day. Settle it, then close again. There is no way to close with days unsettled.
Periods close in order, earliest first. Your first close can be any period that has ended. After that, Close is offered only on the next one. A period you reopened closes again where it is.
Export a pay period
Section titled “Export a pay period”To get the payroll file for one period, open its menu (⋯) and select Export for payroll. The file covers that period’s dates and follows the same rules as Export for payroll.
When the file downloads, Darg asks Exported. Close and the dates. Select Close pay period, or Not now. It never closes by itself.
What a closed period locks
Section titled “What a closed period locks”Every change to a day in the period is refused:
- clock ins and outs, and adding, correcting or voiding records
- signing off hours
- leave requested, approved, declined or cancelled, if any day of it falls in the period.
A clock out belongs to the day of its clock in, so a night shift that started on the last day is locked too.
Marking a rejected attempt as reviewed still works.
You can see it where you work:
- Attendance, All shows a lock beside the work day. Point at the lock to read Pay period closed.
- On an open day, Add a record, Correct and Void are gone.
- On Leave, a lock sits beside the dates, and Pay period closed stands where Approve and Decline would be.
- A clock from the app that lands on a closed day is not accepted. The app says This pay period is closed, and the attempt is saved under Rejected attempts as Pay period closed.
- In the app, a shift in a closed period shows Pay period closed. Adding a missed entry or leave for such a day says This pay period is closed. Ask your manager.
Reopen a pay period
Section titled “Reopen a pay period”Only admins and the owner can do this.
- Open the closed row’s menu (⋯) and select Reopen.
- Enter a Reason.
- Select Reopen pay period.
The period is Open again and its days can be changed. Close it again the same way.
Select a row to see who closed and reopened it, and when. History lists every close and reopen with the reason. Both are in the audit trail too.
When you close a period again, Darg compares each person’s hours with the previous close. It tells you how many people changed, for example Closed. Hours changed for 2 people since the last close. History names them under Hours changed since the last close, with their hours before and after.
