Export

Exports are CSV files. They open in Excel, Numbers and Google Sheets, and most payroll systems can import them.

  1. Open Attendance, then All.
  2. Set From and To. Narrow by Employee, Shift or Location if you want part of the organisation.
  3. Select Export for review or Export for payroll.

Everyone who can see Attendance can use it. The file has every work day that matches your filters, in two sections:

  • # Counted: hours that count towards pay.
  • # Not ready for payroll: hours still waiting for a sign-off, and days with no clock-out.

Use it to check a period before payday. The file is named attendance- and the two dates.

Managers, admins and the owner can use it. The file has only hours that count, so it is safe to pay from.

  • To must be before today.
  • The Flag and Day status filters are ignored. A payroll file includes every day.
  • The file is named payroll- and the two dates.

If you have set up pay periods, you do not need to type the dates. On Pay periods, open the period’s menu (⋯) and select Export for payroll. The file covers exactly that period, and the same rules apply. Once a period is closed, its hours cannot change.

The export is refused while anything in the range is unsettled. These days are not ready for payroll lists each person and day, with the reason:

Reason What to do
Waiting for sign-off Sign off the hours.
No clock-out Add the clock-out.
Still clocked in The shift has not finished, for example a night shift. Export later.
Leave not answered Approve or decline the request.

Select a line to open that day. Then export again.

Admins and the owner can select Export without them…, enter a Reason and select Export without those days.

Those days and their hours are left out of the file. The last line of the file says so, with your reason, and the file name includes forced. The export is recorded in the audit trail.

Pay those days in a later run, once they are settled.

One row is one clock in and its clock out. Times are in your organisation’s time zone.

Column What it holds

Employee ID The ID you gave them under Employees.

Clocked Hours What the employee clocked in the app. Empty if either time was added by hand.
Counted Hours What counts towards pay. 0:00 while waiting for a sign-off.

Scheduled Hours and Hours Difference are empty for flexible hours and for a day with no shift. Hours Difference is also empty while there is no clock-out.

The file uses the same words as the screen.

In the file Meaning
Counted Needed no sign-off. The screen shows no pill for this.
Signed off Signed off, so the hours count.
Waiting for sign-off Not counted yet.
Not clocked out No clock-out, so there are no hours.

Flags are written as they appear on screen, separated by semicolons, for example Late; Left early.

What each one means is in Attendance. Manual has its own column.

Leave is not listed in the file. See Leave and payroll.
